Write up of NON-PRODUCTIVE AUDITS

Please follow these instructions for write-up of Non-Productive Returns to avoid having them returned for correction.
1. Make attempts to contact the insured over a 30-day period. There are rare circumstances where this may not apply. Please call Doni if the 30-day rule is not applicable to the return.
2. On the Verification Page: MARK THE NON-PRODUCTIVE BOX. In the time charge box state S/C. In the time explanation box state: Non-productive.
3. Spell check the DOO before submitting.
4. Do NOT use the scheduler’s name and only refer to yourself as “the auditor” and not “I called”, “they left me a message”. Use: The auditor called the insured…. The insured contacted the auditor. Or simplify, by stating: Contacted the insured at 310-777-5555, left a voice message, with no response. Received response from insured, Joe Brown, who stated he would contact his CPA for the payroll documents.
5. Do not copy & paste from progress notes.
6. Copy Doni in when emailing the 10 Day Return Letter or send Doni an email of the date the letter sent via USPS and to what address. Only refer to the 10 Day Return Letter as the "10 Day Return Letter".
7. Please no personal comments. Keep it simple, concise, to the point.
The DOO must have the following information.
INCLUDE THE FOLLOWING IN THE NON-PRO WRITEUP:
**(Per samples below) At the top of the DOO, list the contact for the insured, their phone number, email address and the name and contact information for the agent or anyone else with whom contact was made.
- Date of contact
- Person contacted
- Phone number and/or email address (Should be listed at the top of the DOO, not repeated through each attempt made)
- Result of contact
- Date of 10 Day Return Letter and where it was sent: Insured/email and/or agent/email OR the mailing address if sent via USPS.
